How to negotiate a car price by email (and text)

Short answer: Pick one exact car, email the internet sales team at several dealers on the same day, and ask for a dated, itemized out-the-door quote. Reply to vague answers asking for the full breakdown. Send the best total to the others and ask them to beat it, then ask the winner for a matching buyer's order.

Before you send

  • Choose the exact car (stock number or VIN) at each dealer.
  • Get your own loan approval first, or decide you're paying cash, so the price talk stays separate from financing ().
  • Know which fees your state limits: see dealer doc fees by state.
  • Use your own email address and phone. Every message below is one you send yourself.

How to negotiate a car price by email, step by step

  1. Pick one exact car. Write down the year, make, model, trim and the dealer's stock number or VIN for each listing, so every quote is for the same car.
  2. Send the quote request to several dealers on the same day. Use Template 1 below, from your own email, to each dealer's internet sales team.
  3. Ask for the full breakdown when an answer is vague. Use Template 2 if a reply gives only a monthly payment, a sale price, or “come in.”
  4. Ask the others to beat the best written total. Use Template 3 once, with the lowest itemized out-the-door total you have in writing.
  5. Accept in writing and ask for the buyer's order. Use Template 4, then check that the buyer's order matches the quote line by line before you sign.

Template 1: itemized quote request

Copy and paste, then fill in the bracketsSubject: Out-the-door quote request, stock #[STOCK] Hi, I'm interested in the [YEAR MAKE MODEL TRIM], stock #[STOCK] (VIN [VIN]). Please send your best out-the-door price in writing, itemized: selling price, each dealer fee, any add-ons, sales tax, and title and registration. Please don't include add-ons I haven't asked for. I'm comparing written quotes from a few dealers and plan to decide by [DATE]. Please put today's date on the quote. Thanks, [YOUR NAME]

Template 2: itemization follow-up

Copy and paste, then fill in the bracketsSubject: Re: Out-the-door quote, stock #[STOCK] Thanks. Before I can compare, I need the full itemized out-the-door total: selling price, each dealer fee, each add-on, sales tax, and title and registration. I'm not discussing monthly payments yet. Could you send that breakdown by email? Thanks, [YOUR NAME]

Template 3: ask to beat a written total

Copy and paste, then fill in the bracketsSubject: Re: Out-the-door quote, stock #[STOCK] Thanks for the quote. I have a written, itemized out-the-door quote of $[BEST TOTAL] for the same model and trim, dated [DATE]. If you can beat that total in writing, I'm ready to move forward with you. Thanks, [YOUR NAME]

Only quote a total you really have in writing. Don't invent a number.

Template 4: accept and request the buyer's order

Copy and paste, then fill in the bracketsSubject: Re: Out-the-door quote, stock #[STOCK] I'd like to accept your out-the-door price of $[TOTAL] for stock #[STOCK]. Please email the buyer's order showing the same itemized numbers before I come in, and tell me what to bring. I'll be paying with [CASH / MY OWN LOAN APPROVAL / OPEN TO YOUR FINANCING IF YOU BEAT MY RATE]. Thanks, [YOUR NAME]

By text: short versions

Short answer: Text works like email, just shorter: “Hi, I'm interested in stock #___. What's your best out-the-door price, itemized, no add-ons? I'm comparing written quotes.” Screenshot every reply, and move to email for the final itemized quote and buyer's order so the numbers are on one page.

FAQ

Will dealers really quote an out-the-door price by email?

Many dealers have an internet sales team that answers email. If one won't put an itemized total in writing, that tells you something; move on to the next dealer.

Should I negotiate a car price by text?

Text works for the first message and quick replies. Screenshot every reply, and ask for the final itemized quote and the buyer's order by email so all the numbers are on one page.

Does VaultRubric email or text dealers for me?

No. You send every message yourself, from your own email or phone. VaultRubric never contacts dealers. With Start my deal we draft replies in your Deal Vault for you to copy and send.

What if the dealer only wants to talk monthly payments?

Reply that you'll discuss financing after the out-the-door price is agreed, and ask again for the itemized total (Template 2).
